Collection of Personal Data
On the SIGBI website we do not collect personal information about our users, except:
- those who register as club website officers through the SIGBI Clubs section of this website; and
- those who make purchases through the SIGBI Shop.
The contact details of all registered club website officers are recorded to aid in enforcing the terms and conditions, and to provide the highest level of support for your club pages. You agree to the contact details provided on initial club registration (or those provided at the time at which you become club website officer) being stored in a database on the web server for as long as you are the website officer for your club.
The contact details of customers who purchase items through the SIGBI Shop are recorded to enable us to complete the transaction requested, and to maintain accounts and records as required by law. Credit card details are encrypted while on the internet, and then deleted from the web server as soon as they have been downloaded by the Federation Office.
Type of information collected
The minimum information we need to register a club website officer is club name and region, officer's name, and contact e-mail address. For customers of the SIGBI Shop we require full invoice and delivery addresses. While this information will not be disclosed to any third party without your consent, we cannot be held responsible for any hacking attempt that may lead to the data being compromised.
Use of Personal Data
- We will not share your personal information with others without your prior consent.
- We will investigate security options to protect user privacy.
- We will respect your e-mail privacy. You will only receive e-mails relating
to your use of the SIGBI Clubs system, or your purchase through the SIGBI Shop.
For club website officers this may include:- confirming your registration details and password,
- sending you a new password should you forget your current one,
- informing you of actions relating to your club pages, such as image activation,
- informing you when your annual fees are due for renewal, and
- informing you of changes to the system functionality.
- acknowledging initial receipt of your order,
- informing you when payment has been processed,
- informing you when your order has been shipped, and
- informing you of problems with your order, such as credit card refusal, inability to ship items which are out of stock, etc.
Should we decide to change our privacy policy we will post the changes here. Where the changes are significant, we may also choose to e-mail all registered club website officers with the new details.
Updating personal data
Club website officers can update their personal information at any time, using the "Contact Details" page in the secure administration area. When you request a change to your details through this page you will be sent an automated e-mail. The details will only be updated to the new ones when you follow a link in the e-mail message. This helps ptotect against your details being changed by people who have gained unauthorised access to your password.
Storage of Club Website Officers' Details
To protect online privacy, the database where club website officers' contact details are stored is password-protected. All website officers' passwords are encrypted to prevent hackers gaining unauthorised access to individual accounts.
We use all reasonable precautions to ensure only responsible third parties see the information. However, we are not responsible for any breach of security resulting in the compromise of personal data we store, or for any actions of any third parties who receive the information.
Please note that we reserve the right to access and disclose individually identifiable information to comply with applicable laws and lawful government requests, to operate our systems properly and to protect both ourselves and our users.
Security of Online Credit Card Payments
The security of your payment information when you purchase items through the SIGBI Shop is protected by Secure Sockets Layer (SSL) software. This uses 128-bit encryption to encrypt all the information you enter in the checkout forms. The information is sent and stored temporarily on the internet in this encrypted form, and only de-encrypted when it has been downloaded by our sales and membership officer at the Federation Office. All details are deleted from the web server once they have been downloaded. Credit card details are deleted from the office computer as soon as payment has been processed.
Cookies
The SIGBI website uses "cookie" technology to improve the usability of the site. Cookies are small text files which the browser stores on your computer's hard drive. When you visit the website again, the website detects the cookie and recognises that you are a returning user. This information can be used to deliver personalised content, to control log-in sessions, to record statistical data about the number of visitors to the site, etc.
We use cookies in the SIGBI Clubs section to facilitate website officers' access to the administration area.
We use cookies in the SIGBI Shop to make it easy and convenient to use. One cookie tracks which items you have added to your trolley. When you pay, you have the option to allow a second cookie to store your contact details, so that you do not have to re-enter them every time you make a purchase. Cookies are stored on your own computer; ticking this option when you pay does not store your personal information on the website.
We also collect anonymous statistical data to monitor page popularity and improve the site for all users. We do not share any of this data with third parties, and use it only to make our online services more efficient.
Each cookie is only available to the website which created it. Accepting a cookie from a website does not allow that website access to personal details stored in other cookies. Nor does not make any other information or files on your computer available to the website.
If you are concerned about cookies, you can turn them off in your browser. However, if you do this please note that the SIGBI Shop will not work properly.
Recommendations
While we take reasonable precautions to prevent club website officers' accounts being breached, and to limit the potential damage of such a breach, it is important for you to protect against unauthorised access to your password and to your computer. Avoid using the same password for more than one purpose. Remember to log out of the secure administration area when you have finished using a shared or public computer.
When providing news articles or reports to be uploaded onto the SIGBI website, or when uploading your own reports onto your club pages, do not include anything which could be considered sensitive personal information, such as name, address, e-mail address, telephone number, etc, without the written permission of that Soroptimist member.
When forwarding e-mails to third parties, take care to remove other Soroptimists' e-mail addresses from the message, unless they have given written consent for their address to be shared in this way.
Always bear in mind that different countries have different laws on how personal information can be used - if in doubt, ask an expert.
